Email Excellence: Navigating New Spam Rate Standards in 2024

In the digital heartspace where your online business thrives, each email you send is more than a message—it's a pulse of your brand's essence. However, as your emails journey through the vast digital cosmos, how can you ensure they reach their intended destination, resonating with the warmth and authenticity you sent them with? This is where Google Postmaster comes into play. This powerful tool lets you peek behind the curtain, offering insights into how your emails are treated once they leave your nurturing hands. Today, we'll walk you through setting up and verifying your domain on Google Postmaster and understanding the rich tapestry of data it provides, ensuring your heartfelt communications navigate the email cosmos effectively.

Before we do, you need to know where to find your DNS records. They are usually found with your domain host, or they may have been moved to a third party such as Cloudflare. If you know how to access your DNS records move on to the next section. If you don't, you can use a tool such as MXtoolbox  to find out where they are. If it does not show you, contact your domain host to confirm. You will most likely see something like this at the bottom of the records shown. Don't worry about anything else on the page (at this time), we just need to know where your DNS records are kept. Mine is showing that rebel.ca is hosting my DNS records, which makes sense as that is my domain host. Once you know where to find your DNS records sign in and navigate your way to those records as you will need them for the next step.

 

Setting Up and Verifying Your Domain on Google Postmaster

Google Postmaster Tools is like a lighthouse for your emails, guiding them through the foggy realms of spam filters and deliverability issues. Here's how you can set your beacon:

  • Access Google Postmaster Tools:

    • Sign into your Google account, if you are not already signed in. You do need a Google account for the next step. If you do not already have a Gmail or Google account you will need to set one up.
    • Visit Google Postmaster Tools.
    • Sign in with your business email. This should be the email associated with the domain you want to monitor.
  • Add and Verify Your Domain:

    • Click on the ‘+’ icon in the bottom right corner, to add a new domain.

  • Enter your domain name.
  • You'll then be given a TXT record to add to your DNS records. This is how Google verifies that you own the domain.
  • Update Your DNS Records:

    • Log in to your domain registrar or hosting provider.
    • Navigate to your DNS settings.
    • Add the TXT record provided by Google Postmaster.
    • Save your changes.

Note: DNS records can look different across all the platforms but the information added is essentially the same. To add the snippet that Google Postmaster has provided you will need to create a TXT record

 The 'Host' is usually left blank or may require an @ symbol. The 'Record' is where you will past the snippet provided by Google Postmaster. The TTL (Time to live) can be set to the shortest amount of time, it may be shown in seconds like mine or minutes. Once you have saved this record, refresh the page and confirm it shows in your records

  • Finalize Your Verification:

    • Return to Google Postmaster Tools and click ‘Verify’.
    • It might take some time for DNS changes to propagate, so don’t worry if verification doesn’t happen immediately. Come back and verify later if needed.

Once you are verified you will most likely see 'No data to display at this time. Please come back later'. This is perfectly fine, it is to be expected as they need to get to know your sending habits, you will now be building you own reputation instead of piggy backing on your host or other platforms. It will start gathering data and you will be watching here to make sure you keep your reputation in tact.

Note: if you already see data, this is also fine, it just means they already know your domain and your reputation. The only reason you would need to be concerned at this moment, is if you have data and the data shows your domain reputation as 'low' or 'bad'.

Navigating the Data Ocean of Google Postmaster

Once your domain is verified, Google Postmaster becomes your telescope to the stars of email analytics. Let's explore the constellations of data you can observe:

  1. Spam Rate:

    • What It Tells You: A deeper insight into your spam rate, not just the percentage of your emails marked as spam, but also the categorization of these incidents based on user behavior and content analysis. 
    • Heart-Centered Insight: This metric is more than a number; it's feedback from your audience's interaction with your content. A high spam rate might be a call to realign your messaging with the expectations and preferences of your community. Use these detailed insights to craft emails that not only reach inboxes but also resonate with the hearts of your audience.
    • New Security Insights: As of February 1, 2024, Google is implementing stricter guidelines for spam rates. Effective from this date, Google will require brands to maintain spam rates reported in the company's Postmaster Tools below a threshold of 0.1% and avoid reaching a spam rate of 0.3% or higher. This marks a more stringent approach compared to the previous recommendation of keeping spam rates below 0.3%. Maintaining a spam rate below 0.1% is now crucial to ensure your messages are delivered to the main inboxes and to maintain a good reputation with Google​.
    • Action Steps: Regularly check your spam rate. Analyze the content and context of the emails that are marked as spam to identify any patterns or common elements. Ensure your email content is highly relevant, engaging, and provides value to your recipients. We will cover this in more detail later in the week. 
  2. IP Reputation:

    • What It Tells You: Beyond the basic High, Medium, or Low classifications, these metrics offer a more nuanced view of your IP's trustworthiness.
    • Heart-Centered Insight: Use this detailed insight to refine your sending practices, ensuring every email sent from your IP resonates with the trust and authenticity your brand embodies.
    • Action Steps: Ensure your sending practices, content quality, and engagement strategies adhere to the best practices recommended by Google, maintaining a high sender reputation.
  3. Domain Reputation:

    • What It Tells You: Detailed analytics on your domain’s health, considering factors beyond email, such as website security and domain age.
    • Heart-Centered Insight: Your domain's reputation is the digital reflection of your brand's soul. Cultivate it with care, ensuring every aspect of your online presence is aligned with your core values.
    • Action Steps: Ensure your sending practices, content quality, and engagement strategies adhere to the best practices recommended by Google, maintaining a high sender reputation

    • What It Tells You: Not just the rate at which users mark your emails as spam, but also the reasons and patterns behind their actions.

    • New Security Insights: With tightening security measures, ensure your SPF, DKIM, and DMARC records are correctly set up and monitor any changes in how these authentication measures are reported.
    • Action Steps: Regularly review and update your authentication protocols to align with the best practices.
  6. Encryption:

    • What It Tells You: Trends in TLS encryption rates and detailed insights into any encryption-related issues.
    • Heart-Centered Insight: In a world valuing digital privacy, ensuring your emails are a secure channel for your authentic communication is paramount.
  7. Delivery Errors:

    • What It Tells You: A granular breakdown of delivery errors, categorizing them into temporary (soft bounces) and permanent (hard bounces) issues, with detailed reasons.

    • Action Steps: Address the technical or content-related issues promptly. Regularly update your email list to remove invalid addresses and reduce bounce rates.
